Mapping Client Sales and Fulfillment Operations
Joining forces with our partner (and client) Team Revenue, working from existing process documentation, a process and technology plan was mapped out to support the selling steps for the team of 250+ field salespeople.
The Postmedia field sales team was trained using a proprietary software tool designed to move the user through a guided selling process. Custom form pages prompted the salesperson to input specific deal request and delivery parameters which would contribute to the pricing and fulfillment processes downstream.
The sales team was forced to move between a costly proprietary software program and company ERP to input deal details.
Once we were able to diagram the selling process and how users expected the system to support their current behaviors, we were able to recommend processes that enabled some current practices but also did force some new and more efficient behaviors in the proposed new toolset.
Requirements Consulting for Custom HubSpot Development
In our consulting process we were able to reduce annual custom software support and development cost by nearly $1MM through a modern SaaS stack of HubSpot, Jotform and Webflow.
The Textile team then documented the work that would be required to supplement the OOB capabilities of these tools to deliver feature parity with the current solution. Our proposed scope would involve both custom code and 'No-Code' integrations.
Rapid Development Process
Over a Phase One period of 60 days, Textile was able to coach the Postmedia tech team to set up and configure an Enterprise Jotform account and then migrate 15-20 smart forms from the current proprietary solution to Jotform.
Textile built blueprint HubSpot workflows and Make.com webhook integrations to catch form results and feed them back through the HubSpot API to the database.
Finally, Textile built a completely bespoke CRM extension public app to process deal and line item logic and pass parameters to specific Jotform IDs, pre-populating deal data to reduce salesperson data entry time.
A Reliable Sales Enterprise Hub Workflow for a 300 Person Team
Each Jotform was built with data calculations, detailed conditional logic and step-by-step UX to ensure salesperson success.
Hidden field data and IDs allows reliable communication with our app and allows Textile to pull all in-progress or complete forms on command from the deal objects in HubSpot to recall data or complete processes.
Salespeople can now work entirely from a HubSpot home base, and through our elegant CRM extension modals and timeline publication, have access to all the tools and data they need to close the deals with HubSpot line items, deals and quotes and then send fulfillment information downstream to the operations team.
An Operations Hub, Ticket-Based, Fulfillment Process
Textile's custom CRM extension also tasks downstream sales teams with orders by generating tickets. The CRM extension lives in the ticket object as well and means that fulfillment teams can recall job details from Jotform or can be tasked with follow up change orders through the same process.
Textile consulted on maximizing the Operations Hub capabilities to leverage HubSpot automations in tasking and notifying both fulfillment and sales teams of job status by ticket pipeline stage. Now sales and fulfillment can collaborate on jobs moving through operations and status (and reporting) is always clear.
A Purpose Built and Elegant Tech Stack- Saving Big Dollars
Postmedia now has a reliable, affordable, HubSpot centered selling process that puts sales users and fulfillment users in a common tool. The speed of development with Textile meant a super-rapid Time To Value (TTV) on this development expense.
The decommissioning of more expensive tools and process meant that Postmedia could improve the user experience and also reduce overall cost.
